AcademyOn video journal publishes oral presentations that demonstrate scientific relevance and conformity with AcademyOns’ editorial policies. These policies depend on the context in which the oral presentation took place:
AcademyOn is a scientific video journal that publishes oral communications delivered in scientific meetings that demonstrate a scientific relevance and conformity with AcademyOn's editorial policies.
1. Who may apply?
We work with organizers of scientific meetings that are interested in publishing the oral communications in our video journal. Individual requests are not taken into account, however, individuals wishing to be filmed and published in AcademyOn may recommend our video journal to the organizers. AcademyOn has a production team trained to film and edit oral communications in scientific events. We also accept videos produced by organizers themselves.
2. Language
AcademyOn accept oral communications presented in English, Portuguese, French or Spanish, however, the main text of the article should be always in English. When the spooken language of the oral communication is not English, the main text of the article should be submitted in English and in the original language of the oral presentation.
3. The Submission Process
This process starts before the oral communication day and must be conducted by the organizers following these steps:
Step 1: Once the event schedule has been established, the organizers request and obtains the signature of the "Filming Permission" document by authors wishing to be filmed and published in AcademyOn Video Journal.
Step 2: The organizer sends a filming request by submitting a “Request Form” which includes 1) “Filming Permission” documents signed by the authors, 2) the communication approval given by the event committee, for each communication scheduled to be filmed, and 3) the filming schedule.
Step 3: Following the reception of the AcademyOn's approval, the organizers send the "Submission Form_Word Template" " to be full filed by authors and proceed to the online submission of each communication here.
4. Authorisations
The organizers should ask and obtain the signature of "Filming Permission & copyright" from each author scheduled to be filmed. The organizers should certify that this document has been signed and correctly full filed by the authors. The organizers should also signe and send the "Filming and Publication Permission" authorizing AcademyOn to filme and publish the oral communications delivered in their scientific event.
5. Editorial Evaluation Process
We publish oral communications already approved by the scientific committee of the event, and we work with organizers that request our filming support, however, this does not guarantee the final decision of publication in AcademyOn Video Journal. All videos will be subject to an editorial evaluation. This process begins when the the oral communication is submitted and all required documents are sent. Editorial evaluation’s criteria include but are not limited to:
- The communication demonstrates a scientific relevance in the field of interest.
- The speaker talk and presentation content are consistent.
- The submission form is correctly submitted and all required documents are sent.
- The PowerPoint Slideshow is clear and complies with AcademyOn requirements.
- Video and audio quality are in line with AcademyOn quality standards.
- The presentation plan and timing are respected.
- The presentation complies with the editorial policies of AcademyOn.
When the video passes the editorial evaluation process, the organizers are notifie and the video-article will be edited and considered "in-press".
6. The Authorship
The organizers are the only responsible for managing the submission process of their oral communications. AcademyOn considers that the communication speaker is the first author of the video-article and the only responsible for indicating the co-authors of the work presented in the oral communication. AcademyOn reserves the right to contact any individuals that the author asks to be added or removed from the list of authors.
7. The Timelines
- Once the scientific event schedule has been established, the organizers request and obtain the signature of the "Filming Permission & copyright" document by authors wishing to be filmed and published in AcademyOn video journal (1-3 month prior the opening day).
- Once a list of authors that signed the "Filming Permission & copyright" document is drawn up, the organizers request the AcademyOn filming support by submitting the online “Request Form” including 1) the "Filming Permission & copyright" documents signed by the authors, 2) the communication approval given by the event committee, and 3) the "filming schedule" showing the day, the hour and the venue of oral communications intended to be filmed (4-6 weeks prior the opening day).
NOTE: For logistical reasons, organizers are advised to schedule the oral communications intended to be filmed in the same room. If not possible, make sure that communications intended to be filmed are not scheduled at the same time.
- Following the acceptance of the filming request by AcademyOn, the organization is asked to proceed to the online submission here, for each communication scheduled to be filmed (1-2 weeks before the opening day).
NOTE: AcademyOn reserves the right to cancel the filming if the number of communications scheduled to be filmed doesn’t exceed 5 communications.
- Organizers should receive the AcademyOn videographers on the eve of the opening day in order to prepare the room for filming.
- Following the filming day, AcademyOn asks the organizers to send the presentation slideshow file in order to start the video edition process to generate the video file (typically 4-6 weeks post-filming).
- When the video-article passes the editorial evaluation process, organizers are notified and the video-article is edited and ready to be published (1 week after editorial approval).
- Before publishing, the author and the organizers will be invited to review the video-article, to ensure that it is correctly represented, and to sign the "Filming and Publication Permission" document. Following their approvals, the video-article will be considered "in-press" and will be scheduled for publication in AcademyOn video journal web site (4-6 weeks post-approvals).
8. The Open Access Policy
AcademyOn provides immediate Open Access to its content. Indeed, AcademyOn believes that making research freely available to the general public will contribute efficiently to a global exchange of knowledge.
9. The Copyright, License Policies and Commercial Use
Author and organization own the copyright to the video and may use it for non-commercial purposes. They grant AcademyOn the exclusive, royalty-free, perpetual use of the video. Video copyrights are owned by AcademyOn and published under Creative Commons Attribution–NonCommercial–No derivative Works Licence, which allows others to share the work with an acknowledgement of the work’s authorship and this Video Journal. However, the work should not be altered or modified. When you wish to use the video for commercial purposes, please contact us.
AcademyOn encourages authors and organizations to embed the video on their website and to use it in educational and scientific meetings. To do this, please contact us.
10. Conflict of Interest
Financial contributions and supports to the work should be clearly acknowledged. The author is required to embed any potential conflict of interest disclosure in the work presented.
11. Malpractice Statement
AcademyOn's editorial board makes the final editorial decisions, and reserves the right to retract the video-article at any moment of the publication process if there are any concerns with its content.

We work with graduate schools interested in publishing thesis defenses of their students in our scientific video journal. Individual requests are not taken into account, however, students wishing to be filmed and published in AcademyOn may recommend our video journal to their graduate schools. AcademyOn has a mobile production team, trained to film dissertation defenses for academic degree. We also accept videos produced by academic institutions and graduate schools.
2. Language
AcademyOn accept thesis defenses presented in English, Portuguese, French or Spanish, however, the main text of the video article should be always in English. When the spooken language of the thesis defense is not English, the main text of the video article should be submitted in English and in the original language of the oral presentation.
3. The Submission Process
This process starts before the defense day and must be conducted by the graduate school following these steps:
Step 1: Once the date of the defense has been established, the graduate school requests and obtains the signature of the "Filming Permission and Copyright" document by the student and the "Filming and Publication Permission" document by members of the jury.
Step 2: The graduate school sends a filming request by submitting the “Request Form” including a copy of 1) the"Filming Permission and Copyright" document, the "Filming and Publication Permission" signed by the jury members and 3) the defense approval given by the thesis committee.
Step 3: Following the AcademyOn's approval regarding the filming request, the graduate school is asked to complete the submission form.
4. Authorisations
The graduate school should obtain the"Filming Permission and Copyright" before submitting the “Request Form”. The graduate school should certify that the "Filming Permission" document has been signed and correctly completed by the student and all jury members.
5. Editorial Evaluation Process
AcademyOn publishes dissertations defenses already approved by the graduate school committee. AcademyOn works with graduate schools that request filming support, however, this does not guarantee the publication in the AcademyOn's video journal. All videos will be subject to editorial evaluation.
This process begins when the "Submission Form" is completed and all required documents are sent. Evaluation’s criteria include but are not limited to:
- The "Submission Form" is correctly completed and all required documents are sent.
- The PowerPoint Slideshow is clear and complies with AcademyOn requirements.
- Video and audio quality are in line with AcademyOn quality standards.
- The presentation plan and timing are respected.
- The defense demonstrates a scientific relevance in the field of interest.
- The student talk and presentation content are consistent.
- The presentation complies with the editorial policies of AcademyOn.
When the video passes the editorial evaluation process, the graduate school is notified and the video-article will be edited and considered "in-press".
Either accepted or rejected, students and graduate schools will receive an edited copy of the video article when the editorial evaluation process is concluded.
6. The Authorship
Graduate school is responsible for managing the submission process of the dissertation defense. AcademyOn considers that the student is the single author of the video-article.
7. The Timelines
Once the date of the defense has been established, the graduate school requests and obtains the signature of the "Filming Permission" document by the student and the members of the jury (4-6 weeks before the filming day).
The graduate school requests the AcademyOn filming support by submitting the “Request Form” including 1) the "Filming Permission" document signed by the student and the jury members 2) the defense approval given by the thesis committee (3-4 weeks prior the filming day).
Following the acceptance of the filming request by AcademyOn, the graduate school is asked to complete the "Submission Form” (1-2 weeks before the defense day).
Graduate school should receive the AcademyOn videographers at least 2 hours before filming in order to prepare the venue for filming.
Following the filming day, AcademyOn asks the graduate school to send the original document of the presentation slideshow in order to start the video edition process to generate the publishing video file (typically 4-6 weeks post-filming).
When the video passes the editorial evaluation process, the graduate school is notified and the video-article is generated by placing the publishing video and the text in AcademyOn's website (1 week after editorial approval).
Before publishing, the student and his graduate school will be invited to review the video-article, to ensure that it is correctly represented, and to sign the “Author License Agreement” document. Following their approval, the video-article will be considered "in-press" and will be scheduled for publication in AcademyOn Video Journal (4-6 weeks post-approvals).
NOTE: Students and graduate schools will receive the video file after the editorial evaluation process is concluded, either they were accepted or rejected for publication.
